Privacy Policy.
How we collect, use and protect your information.
Last updated: October 5, 2026
The short version
- We collect what you tell us, like your answers on the intake form and how to reach you.
- Analytics are off until you click Accept. If your browser sends Do Not Track or Global Privacy Control, we treat that as a no.
- We never sell your information.
- You can see, fix or delete your information, or change your mind, any time. Email [email protected] or call 833-400-3415.
Who we are
CloudSprout is a small technology business in Georgetown, Ontario, Canada. It is run by Cristo Vasilaros DBA: CloudSprout, doing business as CloudSprout. We build websites and help businesses with Google, leads, systems, AI and IT. Website: cloudsprout.ca. Phone: 833-400-3415 (toll-free in Canada). Email: [email protected].
What we collect
What you tell us. When you use the intake form, we collect your answers (for example what you need, your type of business and your timing), your name, business name, email, phone number and any note you write. If you email or call us, we keep what you send us.
Your choices. Whether you ticked the follow-up box, whether you accepted or declined analytics, and when.
Analytics, only if you say yes. After you click Accept, we collect the pages you view, the buttons you tap, how far you get in the form, your type of device and browser, the page that sent you here, and a rough location (country or city) worked out from your internet address. We do not send your name, email, phone number or anything you type to analytics.
No recordings. We do not record your screen or your visit. If we ever want to, we will update this page and ask you first, and form fields would always be hidden.
The Ask box. A question you type is used to find an answer on our site. We do not keep your questions unless question logging is turned on; then we keep the question, with contact details masked, for 30 days to improve answers. Questions typed in the Ask box are sent to Anthropic (USA) to write the answer; do not type personal details.
Basic server logs. Like every website, our host keeps short logs (internet address, browser, pages asked for) to keep the site running and safe.
Why we use it
- To answer your request and do the work you ask for.
- To send you a follow-up about your request, only if you ticked the box.
- To keep the site safe and working, and to fix problems.
- Only with your OK: to see which pages help people, to improve the site, and to understand what you looked at so our follow-up fits what you need.
Analytics and grouping, in plain words
If you accept analytics, we group visits by what people look at. For example, someone who reads about Google search and local pages may be grouped as "wants more local customers". An AI classification service helps us pick the group. It only gets counts and categories, like "looked at three service pages" or "business type: contractor". It never gets your name, contact details or what you type.
If you later send the intake form, we link your earlier visits on this site to your request with a random reference number. The reference number is not your name or email. We use the group to follow up in a more useful way and to make the site better. We never sell it, and it is never used on its own to decide anything important about you.
Grouping is off by default. It only starts if you click Accept, and it stops when you click Decline in Cookie settings. If our system picks which follow-up message you get, you can ask us what it used and ask a person to look at it again.
Tools we use
We use a few trusted services to run CloudSprout. Each one only gets what it needs.
- PostHog (product analytics): visit and click data, only after you click Accept.
- Jev by TypeSafe (an AI classification service): counts and categories to pick a visitor group, only after you click Accept. Never your name or contact details.
- A customer relationship management (CRM) system: your request and contact details, so we can reply and keep track of our work together. It also sends the follow-ups you agree to.
- Anthropic (an AI answer service for the Ask box): only if we turn AI answers on, and only the question, never your contact details.
- Our web host and email service: to run this site and to send and receive email.
Some pages link to or show content from other sites, like social media or videos. Those sites have their own privacy rules.
Where your information goes
Your information is stored and processed in Canada and the United States. When it is outside Canada (or outside Quebec), the laws of that place apply, and authorities there may be able to see it. Before we use a service, we check how it protects information, and we only pick services that agree to keep it safe.
Cookies and your choice
A cookie is a small file a website saves in your browser. Here is what this site uses:
- cs_consent: remembers whether you clicked Accept or Decline, for 12 months. It is only saved when you choose.
- cs_offers: remembers whether Personalised offers are on or off, for 12 months, together with cs_consent. It is only saved when you choose.
- csl_offer (short-term storage for this tab): what the site noticed to pick an offer, only while Personalised offers are on. It is deleted when you close the tab or turn offers off.
- PostHog cookies and browser storage (names start with ph_): a random visitor number so visits can be counted. Only after you click Accept, and removed from your browser when you click Decline.
- Google Analytics cookies (names start with _ga): count visits for Google Analytics. Only after you click Accept; until then Google Consent Mode keeps them off.
- Short-term storage for this visit: the site remembers your form answers while you move between pages. It is never sent anywhere and is cleared when you close the tab.
The booking calendar on our Contact page is run by our customer records system (CRM). It loads only when you scroll to it or tap "Pick a time", and the details you enter there come straight to us to set up the call.
With your consent our customer records system (CRM) also notes which pages you visit. If you later send us a form or open one of our emails, those visits appear on your file with us so we can help you better. Without consent, nothing is noted.
With your consent we record how pages are used (mouse moves, clicks, scrolling) to improve the site. Typing in forms is hidden in recordings.
Analytics traffic goes through our own web address (t.cloudsprout.ca), which Cloudflare runs for PostHog as its service provider, and then on to PostHog.
Personalised offers. This is optional and off unless you turn it on. When it is on, the site looks at the pages you open and the buttons you tap during this visit and picks an offer that fits. This runs in your browser. What it notices stays in this tab’s short-term storage (named csl_offer) and is deleted when you close the tab. If you also said yes to analytics, we count which offers were shown and clicked, without your name or contact details. Every offer we show is open to anyone who asks for it, and we never show anyone a higher price. To turn it off, open Cookie settings and switch off Personalised offers, or choose Decline.
We do not use advertising cookies.
To change your choice any time, use Cookie settings at the bottom of any page. Do Not Track and Global Privacy Control count as Decline. Saying no never stops the site or the intake form from working.
Emails and texts
We reply to your request by email, phone or text, using the details you give us. Other messages, like a follow-up or our monthly email, are only sent if you tick the box for them. Every message says it is from CloudSprout and tells you how to stop.
- To stop emails, use the unsubscribe link or email us.
- To stop texts, reply STOP. Reply HELP for help. Message and data rates may apply.
- We never sell or share your phone number or email for anyone else’s marketing.
How long we keep it
- Intake requests and contact details: while we are talking or working together, then up to 2 years after our last contact, unless the law asks us to keep business records longer.
- Analytics data and visitor groups: up to 2 years, then deleted or made anonymous.
- Your cookie choice: 12 months, then we ask again.
- Ask box questions (only if logging is on): 30 days.
When we no longer need information, we delete it or make it anonymous.
Your rights
Under Canadian privacy law, and Quebec’s Law 25 if you live in Quebec, you can:
- ask what information we have about you and get a copy, including in a common file format
- ask us to fix information that is wrong
- take back your consent at any time
- ask us to delete your information or stop sharing it
- ask how a visitor group or an automatic choice about you was made, and ask a person to review it
To ask, email [email protected] or call 833-400-3415. It is free, and we answer within 30 days. You can also complain to the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d’accès à l’information.
